Balefire Wealth Goes from Signature to Firmwide Rollout in 22 Days with Jump
22
days from signature to firmwide rollout across 19 states.
98%
adoption at the first usage audit, with two low-usage seats reallocated to team members who asked for them.
Jump configured around Balefire's existing process, including custom meeting types, note templates, and deal-level task syncing into Practifi.
Challenges
Growing 25% a year raised the bar on documentation consistency.
Balefire's client process is unusually specific. From the first fit meeting onward, households are sorted into buckets, and each bucket deploys its own set of tasks. Notes have to do real work: identify a client's vision and values, establish which bucket they belong in and why, read sentiment, capture next steps, and then stack across every subsequent meeting so the firm ends up with a full picture and a personalized financial overview the client can return to as life changes. The firm is also particular about language, with words it always uses and words it never does, because something read on a page lands differently than something said out loud.
At 15 advisors across 19 states and growing, the challenge was making sure that process showed up the same way in every meeting, in every state, regardless of who was running it.
Balefire had been using FinMate, which built a good deal of custom work for them, but growth changed the requirement. “As we grew, continuity and consistency across the firm became increasingly important,” said Stephanie Elton, Balefire's Chief of Staff.
The existing workflow also created an opportunity to simplify Balefire's technology environment and strengthen data governance. Internal notes came out of one tool and then had to be moved into a second AI tool to produce client-facing materials, creating additional steps and movement of client information between systems. Balefire wanted to consolidate that workflow wherever possible while maintaining the appropriate controls around client information.
“Jump allows us to embed our process into the workflow itself, which creates greater consistency across the firm,” she said. “We can standardize how our processes are applied without requiring every advisor to manually recreate the process each time.”

Solution
Custom meeting types, deal-level task syncing, and a rollout built around specialist teams.
Balefire signed with Jump on April 8, 2026. What sold them was less a feature list than a pattern in how the two teams worked together.
“We haven't heard no,” Stephanie said. “So that's been fantastic.”
The firm built custom meeting types and note templates for each kind of conversation it holds, so a client meeting, an intro meeting, and a dictation each produce the right output. Jump's customizations team also built forms and client-facing outputs, and gave the firm the ability to reprocess the same meeting twice, once for the internal record and once for what the client sees. Consolidating the client-facing output is still active work between the two teams, and remains an important governance priority for Balefire.
Notes and tasks now sync from Jump into Practifi. On the insurance side, tasks can be tied to a specific deal rather than floating loose at the entity level, so the client engagement team receives a clean handoff instead of orphaned to-dos. At Balefire's request, Jump added an attestation checkbox that has to be checked before notes sync, moved pre-meeting prep from 24 hours ahead to 48 hours firmwide, and turned on note syncing for dictations so a phone-call debrief in the car counts the same as a recorded meeting.
The part Stephanie keeps coming back to is what Jump does for process consistency.
“Jump allows us to embed our process into the workflow itself, which creates greater consistency across the firm,” she said. “We can standardize how our processes are applied without requiring every advisor to manually recreate the process each time.”
Rollout matched the firm's structure rather than fighting it. Balefire's people are subject matter experts who are trained on the tools and workflows relevant to their roles, so a single company-wide session was never going to be enough. Twenty-two days after signing, Jump ran a fundamentals training for the full firm, then went back for separate sessions with each specialist team: the client engagement team, the advisors who work with vendors, the advisors who work with clients, and the group that needed dictation routing figured out. “Jump was more than willing to meet with us multiple times and have training sessions,” Stephanie said.
Charlene Smith, who leads client engagement, spent that prep time on templates. “We wanted to make sure that we had a lot of the templates that we knew the advisors used, so that when they came out of their meetings, we would know what type of meeting it was and pull the information that was needed easier,” she said.
Impact
98% adoption, one consistent process, and cleaner handoffs across 19 states.
Four months in, the results Balefire points to are about consistency rather than stopwatch math. Every meeting across 19 states now lands in the same shape, in the same system, on the firm's own templates. Tasks route to the right place, including deal-level tasks on the insurance side, so the client engagement team picks up a clean handoff rather than reconstructing context. The firm's standard operating procedures are applied the same way firmwide without each advisor rebuilding the process by hand.
Adoption reached 98% at the first usage audit, and the two low-usage seats were reallocated to team members who asked for them. Rather than one broad rollout, Jump ran a firmwide fundamentals training and then came back for individual sessions with each specialist team, so the client engagement group, the vendor-facing advisors, and the client-facing advisors each learned the parts of the product they actually touch. Balefire coached rather than mandated on top of that, and started a tech tip channel where anyone who figured something out shared it with the group.
Balefire is now moving into the next phase of the build-out, focused on identifying additional opportunities for efficiency and automation.
For a firm that describes itself as never finished, the partnership matters as much as the product. “We're always creating. We're always thinking. We're always looking for how we can make something better,” Stephanie said.
“It's been refreshing to work with a company and technology that didn't overpromise and underdeliver,” she added. “Jump promised exactly what we got, and then overdelivered.”
